Voicemail Setup

About Voicemail

Voicemail is available 24 hours a day.

If voicemail is not answering your calls, ensure that you have activated it by programming Call Forward to your voicemail box. You need to do this only once.

Played messages will automatically be discarded by the Voicemail system 4 days from when they were received. Unplayed messages will automatically be discarded after 28 days.

Passcodes must be in place on all mailboxes. Your passcode must be six to ten digits.

Keep your greeting up to date. If you will be out of the office for a day or more, change your greeting so callers don't leave messages you will not be able to reply to.

If you will be away for an extended period and wish to prevent messages from being left for you, call Local 5497 to disable your mailbox message-taking ability or the caller's ability to bypass your greeting.

Activate Voicemail (connect voicemail greeting to mailbox)

To activate your voicemail, you must input codes to redirect calls to your voicemail. These codes must be dialed from the telephone to be forwarded. The most common call forward codes are:

  • Redirect to voicemail if No Answer: #6480 XXXX (where XXXX is the mailbox number)
  • Redirect to voicemail if Busy: #6980 XXXX (where XXXX is the mailbox number)
  • To cancel dial #40

Other commonly used call forward features include:

  • Always #8 XXXX Cancel Always *8 XXXX(where XXXX is the local all calls sent to)
    This feature sends all calls directly to the programmed call forward always destination without ringing the telephone.
  • Do Not Disturb (DND) *5 Cancel DND ##5
    This feature sends all calls directly to a previously programmed call forward - Busy destination (usually voicemail without ringing the telephone). See Call Forward Busy above.

Note: If you hear a series of short beeps before you hear dialtone on your telephone, the telephone system is reminding you that Call Forward Always or Do Not Disturb is active. To cancel this feature dial *8 or #5 as indicated above.

Call Pickup

This feature allows you to pick up a ringing telephone in your area from another telephone set.

  1. Lift handset (wait for dialtone)
  2. Dial *6

Change Your Mailbox Greeting

Assuming that you have already entered your mailbox (8* then passcode):

  1. Select U (8 key) for User options
  2. Select G (4 key) for Greeting
  3. Select R (7 key) for Record greeting
  4. Verbally record the greeting and press X (9 key) to stop recording and save
  5. Press X (9 key) to exit from your mailbox

If you wish to listen to your current greeting, press L (5 key) in place of R (7 key) to record in the above instructions.

Change Your Mailbox Passcode

Assuming that you have already entered your mailbox (8* then passcode):

  1. Select U (8 key) for User options
  2. Select P (7 key) for Passcode
  3. Enter your new six (6) digit passcode then WAIT
  4. Wait for the system to announce back to you your new code
  5. Press X (9 key) to exit from your mailbox

Change Your Mailbox Name

Assuming that you have already entered your mailbox (8* then passcode):

  1. Select U (8 key) for User options
  2. Select N (6 key) for Name
  3. Select R (7 key) to record your name
  4. Verbally record your name and press X (9 key) to stop recording and save
  5. Press X (9 key) to exit from your mailbox

If you wish to listen to your current name, press L (5 key) in place of R (7 key) in the above instructions.

Leave Messages for Other Users

There are a variety of options available when leaving messages:

  • To leave a message for a person's mailbox without ringing their extension:Dial 80 and their mailbox number (usually same as their local number)
  • To bypass the mailbox greeting and begin leaving your message: Press any key other than 0 (transfer to operator) or * (identifies to Voicemail the mailbox owner is calling in)Ensure you listen to enough of the greeting to be certain the person is in the office before you bypass the greeting.
  • To delete what you have recorded and rerecord your message press D (3 key) to discard
  • To listen to your message before saving it to the mailbox press R (7 key) to review
  • To append to your message before saving it to the mailbox press A (2 key) to append
  • To mark your message urgent before saving it to the mailbox press U (8 key) for urgent
  • To save your message press X (9 key) to avoid recording the hangup noise or simply hangup
  • To transfer a caller into a mailbox to leave a message Transfer as you would a normal call enter 80 and the mailbox number in place of the local number then hangup when connected. NOTE: * is not required.This is only required when entering a mailbox to play messages etc.

Access Your Voice Mailbox

Use 8 * from your own telephone set to access your voice mailbox. If accessing from another phone use the original 80 * XXXX (where XXXX is your mailbox number).

Off-campus: dial 604-323-5200, when answered by Voicemail enter * followed by your mailbox number

OR

  1. Dial your own telephone number.
  2. When you hear your greeting, press * to notify voicemail the user is calling in.
  3. Enter your passcode when prompted. NOTE: You must be calling from a touch tone telephone in order to access Voicemail.

If while entering your passcode, the Voicemail system tells you "I did not get your passcode, please try again":

  1. Enter your code again as requested. 
  2. You will again be asked to enter your passcode. Enter your code again

If while attempting to enter your mailbox, you are informed "you cannot access your mailbox at this time", your mailbox has been "locked up" as a result of five (5) invalid passcodes within a 24 hour period. Contact the iT Service Desk (local 5999) or Joyce Robson (local 5218) to unlock your mailbox.
