Executive Assistant, Executive Office

Permanent, Full-Time

Start Date: Immediate

Description of Position:

The Executive Assistant is part of an Executive Office support team reporting directly to the Manager, Executive and Board Operations.  This position provides executive administrative support to the College Board of Governors and the President.  Duties include the preparation of board agendas and meeting minutes.  In addition, this position is responsible to provide support to the Office of the President with shared responsibility for the effective, efficient and responsive operation of the Executive Office.

Qualifications:

Education & Experience

  • Completion of two years of post-secondary business education, business communications or related discipline.
  • Must have over five (5) years of recent related experience providing support at a senior executive level in a unionized setting (preferably within post-secondary education).  Or, an equivalent combination of education and work experience may be considered.
  • Experience with minute taking.
  • Knowledge of the BC post-secondary educational system.
  • Advanced computer skills in word processing and spreadsheet skills using MS Word and Excel.
  • Proficiency in preparing presentations using PowerPoint.

Skills & Abilities:

  • Demonstrated proficiency in English and the ability to effectively communicate tactfully and with discretion, both orally and in writing.
  • Accurate word processing skills of 60 wpm.
  • Ability to produce complete and accurate minutes.
  • Ability to establish and maintain effective working relationships with all constituencies of the college, i.e. Board of Governors, students, employees, and the general public.
  • Ability to perform assignments within strict deadlines and with minimal supervision.
  • Ability to effectively organize and prioritize workload.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability and aptitude for learning new skills as new activities are undertaken and changes in technology occur.

Salary Range: $44,417 - $55,521 Annualized (Pay Grade H*)
